Terms of Service

Last updated 4 October 2026 · Version 2026-10-04.2

1. Who we are and what these terms cover

DetailersEye is operated by Veltro Labs Ltd, company number 17512136, registered in England and Wales, whose registered office is 67 Thor Drive, Bedford, MK41 0WN, United Kingdom. In these terms, we, us and our mean that business, and you means the detailing business that creates an account, together with the person who signs up on its behalf.

These terms, together with our Privacy Policy and the Data Processing Agreement in clause 9, are the whole agreement between you and us for the use of DetailersEye (the Service). They form a contract when you tick the box to agree at sign-up, and again each time you accept an updated version.

2. Business use only

  • The Service is for businesses. By accepting these terms you confirm that you are using it for the purposes of a business, that you are at least 18, and that you have authority to bind that business.
  • You must give accurate registration details, keep your password secure, and tell us promptly if you think your account has been accessed without permission. You are responsible for everything done under your account.
  • One business per account.

3. What the Service is, and is not

  • DetailersEye provides software for booking, scheduling, payments, messaging and customer management. Some features are available only on the Pro plan.
  • We are a software provider. We are not a party to any contract between you and your customers, we are not your agent, and we do not supervise, endorse or guarantee your work or your customers. We are not a marketplace and do not introduce customers to you.
  • Nothing in the Service is legal, tax, insurance, financial or safety advice. Templates, defaults and suggested wording (including cancellation and deposit wording shown to your customers) are starting points you must check and adapt to your own business.

You choose a public booking-page address (for example detailerseye.app/book/your-business). Once it is set it cannot be changed. We do not forward the old address, so anything you have already shared (a QR code, a link on your website, a bookmark) would stop working. Choose it carefully before you confirm. You may not choose an address that infringes another person's rights, impersonates another business, or is offensive.

5. Plans, billing, free trial and cancellation

  • The Free plan costs nothing. The Pro plan is charged in advance through Stripe, monthly or annually as you choose, at the price shown on our pricing page when you subscribe, plus VAT where it applies. Trade accounts are included in Pro.
  • Free trial. A Pro subscription may start with a free trial. A payment card is required to start one. Nothing is charged during the trial. If you do not cancel before the trial ends, your card is charged automatically for the first period (a month, or a full year if you chose annual billing) and your subscription then renews every month or every year, as chosen, until you cancel. We send a reminder email a few days before the first charge as a courtesy. It is your responsibility to cancel in time, and not receiving the reminder does not entitle you to a refund.
  • Cancelling. You can cancel at any time from Settings → Plan (billing portal). Cancellation takes effect at the end of the period you have already paid for, and you keep Pro access until then. After that the account moves to the Free plan and Pro-only features switch off.
  • Refunds. Fees are non-refundable, including for part-used periods and annual plans, except where the law requires a refund or where clause 15 provides one. Where we agree to give a refund, it is paid to the original payment method.
  • Failed payments. If a payment fails we may retry it, ask you to update your card, and move your account to the Free plan if it stays unpaid.
  • Price changes. We may change the price of Pro by giving you at least 30 days' notice before your next renewal (for an annual plan, before the renewal date). If you do not want the new price, cancel before it takes effect.
  • Platform fee. At the date of these terms we do not take a fee from your customer bookings. We will not introduce one without at least 30 days' notice and your right to close your account first.
  • Admin-granted access (for example a time-limited Pro grant for testing) is a courtesy, carries no payment obligation, and ends on the date given or when we withdraw it.

6. Your responsibilities as a detailer

You are solely responsible for your detailing business. In particular, you are responsible for:

  • Your services and your customers. The quality and safety of your work, the care of customers' vehicles and property, any damage, loss or injury arising from your work, your prices, and every complaint, claim or dispute with a customer.
  • Consumer law. Many of your customers will be consumers with statutory rights, including under the Consumer Rights Act 2015 and the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, which can give a consumer a right to cancel a distance booking within 14 days. You must set deposit, cancellation and refund terms that comply with the law and are fair, give your customers the information the law requires, and honour their statutory rights. The wording DetailersEye shows to your customers about cancellation and deposits is generated from the settings you choose. Whether it is enforceable against a particular customer is your responsibility, not ours.
  • Insurance. Holding insurance appropriate to your work, including public liability cover and cover for customers' vehicles in your care.
  • Licences, tax and environment. Any permits, waste-water or environmental requirements, health and safety duties, VAT, income tax and accounting obligations that apply to you.
  • Weather and safety decisions. Whether it is safe and sensible to carry out a job, on any day, at any location.
  • Accuracy. The services, prices, availability, working hours, travel radius and other information you enter, and keeping them up to date.
  • Your messages. You are the sender of messages that go to your customers through the Service, and you are responsible for their content and for having the consent you need under data-protection and electronic-marketing law. Do not use the Service to send marketing to people who have not agreed to receive it.
  • Your people. Anyone you allow to use your account, including staff and subcontractors.
  • Your records. Keeping any records the law requires you to keep. The Service is a working tool, not a legal archive. Export what you need regularly.

7. Payments and Stripe

  • Customer payments are processed through your own connected Stripe account, under Stripe's terms, including its Connected Account Agreement. You must keep that account in good standing and pass Stripe's checks.
  • We do not receive, hold or transmit your customers' funds and we are not a payment institution. Card details are handled by Stripe and never reach us.
  • Refunds, chargebacks, disputes, failed or declined payments, reserves and Stripe's processing fees are between you, your customer and Stripe. We are not liable for anything Stripe does or fails to do, including delays, holds, freezes or outages, and we cannot promise that a payment will not be disputed or reversed by a customer's bank.
  • Our own Pro subscription fee is charged separately by Stripe, on our account.

8. Scheduling, weather, routes and AI are suggestions

The scheduling engine, route and travel-time estimates, weather forecasts and alerts, next-service predictions, cancellation-risk indicators, "Fill My Day" suggestions and AI-drafted messages are decision aids. They rely on third-party data and estimates that can be wrong, late or unavailable. They do not guarantee that a booking will fit, that the weather will be suitable, or that a customer will turn up or rebook. We never reschedule or cancel a confirmed appointment for you. You decide, and you remain responsible for your diary and for honouring bookings. Review any AI-drafted message before you send it.

9. Data Processing Agreement

This clause is a data processing agreement under Article 28 of the UK GDPR (and, where it applies, the EU GDPR). It applies whenever we process personal data about your customers on your behalf.

  • Roles. For your customers' data (names, contact details, addresses, vehicles, bookings, payment status and messages), you are the controller and we are your processor. For your own account data, we are a controller. See our Privacy Policy.
  • Instructions. We will process that data only on your documented instructions, which are these terms and your use of the Service, unless the law requires otherwise. We will tell you if we think an instruction breaches data-protection law.
  • Scope. Subject matter: providing the Service. Duration: while your account is open, plus the export and deletion period in clause 14. Nature and purpose: storing, organising, displaying, transmitting and deleting the data to run your bookings and messages. Data subjects: your customers and their contacts. Data types: those listed above.
  • Confidentiality and security. People who access the data are bound by confidentiality. We apply appropriate technical and organisational measures, including encryption in transit, hashed passwords, access controls, tenant separation and audit logging.
  • Sub-processors. You give us general authorisation to use the sub-processors listed in our Privacy Policy. We bind each to equivalent data-protection obligations and remain responsible for them. We will tell you before adding or replacing one, and you may object on reasonable data-protection grounds. If we cannot resolve the objection, you may close your account.
  • Your customers' rights and our help. We will give you reasonable help to respond to data-subject requests, to keep the data secure, to handle breaches, and with data-protection impact assessments.
  • Breaches. We will tell you without undue delay after becoming aware of a personal-data breach affecting your customers' data.
  • Return and deletion. When the Service ends we will make the data available for export and then delete it as set out in clause 14, unless the law requires us to keep it.
  • Audits. We will give you the information needed to show our compliance, and allow reasonable audits on reasonable notice, no more than once a year, at your cost, and subject to confidentiality.
  • International transfers. Some sub-processors are outside the UK and EEA. Where they are, we rely on a lawful transfer mechanism such as an adequacy decision, the UK International Data Transfer Agreement or Addendum, or the EU Standard Contractual Clauses.
  • Your obligations as controller. You must have a lawful basis for the data you put into the Service, give your customers the privacy information the law requires (our Privacy Policy covers our part), keep the data accurate, handle your customers' requests, and give us lawful instructions. You are responsible for any marketing you send.

10. Acceptable use

  • Do not use the Service unlawfully, or to send misleading or unsolicited bulk messages.
  • Do not upload malware, probe or test our security, overload the Service, scrape it, or access another business's data.
  • Only upload customer data you are entitled to process, and do not store sensitive information the Service is not designed for (for example full card numbers, or health or criminal-record data).
  • Do not resell the Service or use it to build a competing product.
  • Do not let anyone else use your login. Each person needs their own access.

11. Third-party services and integrations

The Service depends on third-party providers, including Stripe, Google (sign-in and Calendar), Calendly, email, text-message and WhatsApp carriers, mapping and weather data providers, and hosting providers. Their terms apply when you connect or use them. We do not control them, we do not promise they will be available or accurate, and we are not responsible for what they do or fail to do.

12. Availability, support, changes and beta features

  • We aim for high availability but do not guarantee uninterrupted or error-free service. We may carry out maintenance, and we will give notice where practical.
  • Support is by email on a reasonable-efforts basis. There is no service-level agreement.
  • Free plan limits. The Free plan has usage limits, shown on our pricing page, such as the number of new bookings a month, active services, and membership plans and members. When a limit is reached you cannot add more until the monthly count starts over or you upgrade. Existing customers can still pay for, reschedule and cancel the bookings they already have. We may change the Free plan and its limits on at least 30 days' notice. Free-plan booking pages and customer emails show a "powered by DetailersEye" line.
  • We may improve, change or retire features. If we remove a material feature from a paid plan, we will give reasonable notice.
  • Features marked beta, or enabled for you for testing, are provided as they are, may change or stop working, and may be withdrawn at any time.

13. Ownership and licences

  • Yours. You own the content and customer data you put into the Service. You give us a licence to host, process and display it only as needed to run the Service for you and to comply with the law.
  • Ours. We own the Service, its software, design and brand. We give you a limited, non-exclusive, non-transferable right to use it during your subscription for your own business.
  • Feedback. If you send us ideas or suggestions we may use them freely, without payment or credit.
  • We will not use your name, logo or words as a testimonial or customer logo without your separate permission.

14. Suspension, termination and your data

  • You can close your account at any time. Clause 5 explains how cancellation of Pro works.
  • We may suspend or end your access immediately if you materially breach these terms, if your use creates a security or legal risk, or if required by law. Where reasonable we will tell you why and give you a chance to fix it first.
  • When your account ends we will make your data available for export for 30 days, and then delete it, except where the law requires us to keep it (for example billing records and the record of your acceptance of these terms).
  • Clauses that by their nature should continue (including clauses 6, 7, 15, 16, 17, 20, 21 and 22) continue after the agreement ends.

15. No warranties, and your remedy

  • The Service is provided "as is" and "as available". To the fullest extent the law allows, we exclude all warranties, conditions and terms not set out in these terms, including any implied terms of satisfactory quality, fitness for a particular purpose, accuracy, uninterrupted operation and freedom from errors.
  • If the Service fails to work materially as described, your sole and exclusive remedy, and our sole obligation, is that we use reasonable efforts to correct the problem and, if we cannot do so within a reasonable time, we refund the fees you paid for the period in which the failure affected you.

16. Limits on our liability

Please read this clause carefully. It is part of what you are agreeing to, and it reflects the low price of the Service.

  • What is never limited. Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited or excluded.
  • What we are not liable for. Subject to the point above, we are not liable, under any theory including negligence, for: loss of profit, revenue, bookings, business, customers, goodwill or anticipated savings; loss or corruption of data; business interruption; loss arising from a customer's cancellation, no-show, non-payment, dispute or chargeback; loss arising from weather, travel or scheduling suggestions; loss arising from a third-party service; or any indirect or consequential loss, even if we were told it was possible.
  • Overall cap. Subject to the first point above, our total liability to you for all claims arising out of or connected with the Service or these terms in any way, in total, is limited to the fees you paid us in the 12 months before the event that first gave rise to the claim, or £100 if you have paid us nothing in that period.
  • Disputes between you and your customers. We have no liability for any dispute, claim or loss between you and your customers, or between you and anyone else, and we have no obligation to resolve or take part in it.
  • Time limit. You must tell us about any claim within 12 months of becoming aware of it.
  • You agree these limits are reasonable given the price and the way the Service is offered, and that you are free to insure against losses that these terms exclude.

17. Indemnity

You will compensate us for any loss, liability, claim, fine, or reasonable legal cost that we suffer because of a claim by a third party (including a customer, a regulator, or a payment provider) arising from: your services or your dealings with customers; the content or data you upload or send; your breach of these terms or of the law; or your misuse of the Service. This does not apply to the extent the claim was caused by our own breach of these terms. We will tell you promptly about any claim, let you control its defence (with our reasonable cooperation at your cost), and not settle it without your consent, which you will not unreasonably withhold.

18. Communications

  • We send service communications needed to operate your account: booking activity, billing and payment notices, security alerts, and legal notices such as a change to these terms or to pricing. These are not optional while you have an account, since they are how we tell you things that affect it.
  • We may also send occasional product updates and offers, and invitations to try a feature before general release. You can opt out of either at any time from Settings → Communication preferences, independently of each other, without affecting the service communications above.
  • Notices to you may be given by email to your account address or in the app, and are treated as received when sent. Notices to us go to support@detailerseye.com.

19. Changes to these terms

We may update these terms, for example for new features, a change in the law, or to fix an error. For material changes we will notify you in the app and by email, and you will be asked to accept the new version before you can carry on using the Service. If you do not accept, you can close your account (and, if you are on Pro, cancel as described in clause 5). We keep a record of every version and of when you accepted each.

20. Record of your acceptance

When you accept these terms we record the version, the date and time, how you accepted (email sign-up, Google sign-up, or re-acceptance), your IP address and your browser details. You agree that this record is accurate evidence that you accepted, and that accepting in this electronic way is binding on you and your business.

21. Disputes and governing law

  • If you have a complaint, email us first at support@detailerseye.com and give us 30 days to try to resolve it before you start any formal proceedings. We will do the same.
  • These terms and any dispute connected with them are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

22. General

  • Whole agreement. These terms are the entire agreement about the Service and replace anything said or written before. If a conflict arises, clause 9 prevails over the rest of these terms on data protection.
  • If part is unenforceable. If a court finds any part of these terms invalid or unenforceable, the rest continues to apply, and the affected part applies to the greatest extent the law allows.
  • No waiver. If we do not enforce a right straight away, that does not mean we have given it up.
  • Transfer. You may not transfer your rights or obligations without our written consent. We may transfer ours to a successor to the business, and will tell you.
  • Events beyond our control. We are not liable for delay or failure caused by something outside our reasonable control, including power, internet or hosting failures, third-party outages, industrial action, or acts of authorities.
  • Third parties. Nobody other than you and us has any right to enforce these terms, including under the Contracts (Rights of Third Parties) Act 1999.
